BookingDesk AI

FROM THE FLOOR

Four yeses, handled.

Every scenario below is a standing pattern on a forwarder’s booking desk. If one of them reads like last Tuesday, that’s where the desk starts.

SCENARIO 01

The 'yes' buried in a thread

"Ok pls proceed" arrives as reply #14 on a two-week-old email thread, quoting nothing, at 6:40 pm.

The desk matches the go-ahead to its quote — QT-16419, the Ajman express job — and starts the job order from the quote's own data. Lane, cargo, rate, terms: none of it is re-typed, because all of it already exists. Your coordinator reviews a built JO instead of building one.

SCENARIO 02

The one missing HS code

Everything's ready except the HS code and the consignee's tax ID — and every back-and-forth email costs a day.

The desk asks once, politely, for everything missing in a single message — then holds the job at amber until the answer lands. No five-email chase, no job created half-blank and 'fixed later', which is where documentation errors and customs holds are born.

SCENARIO 03

Three cut-offs, one calendar

SI cut-off Thursday 16:00, VGM Friday noon, gate-in Saturday 06:00 — for one booking, among forty.

Every booking carries its cut-off clocks, and the desk works backwards from them: SI drafted and submitted, VGM chased from the shipper, trucker nudged for gate-in. A missed cut-off is a rolled container and a week of apology — the desk's calendar exists so yours doesn't have to.

SCENARIO 04

The 02:14 go-ahead

Your customer's customer confirmed at their end-of-day — which is your 02:14. The vessel closes for bookings in the morning.

The desk reads the yes, builds the JO from the quote, pushes the booking to the carrier, and holds the customer confirmation for your team's morning approval. By the time your coordinator sits down, there's a booking confirmation with cut-offs on the board — not a race.
